76 an hour 1 day ago 1 day ago 1 day ago Key Pen Parks is looking for a detail-oriented and focused Office & Event Assistant to be responsible for a wide range of tasks, such as organizational record keeping, office support, filing, events support and assisting with recruiting/tracking volunteers.
This position will also take the lead on proper government records management, including filing, government records retention and organizing years of files.
This position will perform data entry for Accounts Payable and payroll, supporting special events and/or assisting all office staff.
Complete picnic shelter rentals and be the lead on answering office phone calls.
Assist with set-up, tear down and working special events.
We are a small but mighty organization so this position will help where needed.
Examples of Position
Responsibilities:
Records organization and filing.
Able to work a flexible schedule, including selected evenings and weekends for events, community outreach opportunities and monthly Board Meeting.
Perform data entry for Accounts Payable and payroll.
Order and maintain office supplies, first aid kits, and routine maintenance supplies.
Schedule interviews and pre-employment appointments.
Scheduling picnic shelter rentals and answering office main phone line.
Assist with website updates, newsletter support, mailings and similar tasks.
Answer main office phone Respond to requests for picnic shelter rentals, input into calendar, reconcile credit card payments, offer alternative times when shelters are rented.
Make signs, laminate signage or flyers.
Hang event flyers in parks and on community boards Assist with room and special event set-up/break down.
Printing materials for meetings.
Position Requirements:
Working knowledge of MS Office, especially Excel and One Drive.
Excellent communication and interpersonal skills.
Excellent organization and team building skills.
Familiarity with government records retention or similar organizational processes Organized, motivated and a positive attitude including able to answer the same questions multiple times such as for shelter rentals.
Team player.
Good time-management skills.
Ability to work on some evenings and weekends (time is flexed during the week) for special events, community outreach and Board meetings.
This position primarily works in an office setting, but events and outreach work will be outdoors including all weather conditions (heat, cold, rain, etc.
), uneven terrain and walking long distances.
Able to lift 30 pounds.
WA State Driver's License with good driving record.
